Information we collect

• Contact details — name, email address, postal address and phone number, provided by you, entered by us, or imported from a source you engaged with.
• Communications — the content and metadata of emails, text messages and calls exchanged between us, including timestamps and delivery status.
• Consent records — when, how and from where you gave permission to contact you, stored with proof.
• Property and transaction context — notes, appointments and deal history relating to our work together.

How we use it

To respond to you, to provide real-estate services you have asked for, to send communications you have consented to receive, and to meet our legal and regulatory obligations. We do not use automated decision-making that produces legal effects about you.

Mobile information

No mobile information will be shared with third parties or affiliates for marketing or promotional purposes. Information sharing to subcontractors in support services, such as customer service, is permitted. All other use case categories exclude text messaging originator opt-in data and consent; this information will not be shared with any third parties.

Who we share it with

We do not sell personal information. We share it only with service providers who process it on our behalf, under contract, for the purposes above:

• Brevo — email delivery and inbound email processing.
• Twilio — text messaging and voice, where enabled.
• OVHcloud — hosting. Our servers and database are located in the United States.

We may also disclose information where required by law, or to establish or defend a legal claim.

How long we keep it

We keep contact and communication records for as long as we have a business relationship with you and for as long afterwards as our professional and legal obligations require.

One record deliberately outlives the rest. If you unsubscribe or ask us to stop contacting you, we keep a record of that request permanently — separately from your contact record, so that deleting and later re-importing your details cannot resurrect permission you withdrew. It is retained for that purpose alone.

Your choices and rights

• Email — every marketing message carries an unsubscribe link, and we honour it.
• Text messages — reply STOP to any message to opt out, or HELP for assistance.
• Access, correction and deletion — write to us at dave@citadelxpro.com and we will act on your request.

We also apply do-not-contact rules, quiet hours and message-frequency limits automatically, so a request to stop takes effect regardless of what is scheduled.

Fair housing

We do not use, request or act on race, colour, religion, sex, familial status, national origin, disability or any other protected characteristic in providing housing services. Enquiries touching those subjects are routed to a person rather than answered automatically.

Security

Access is restricted per account, credentials are stored encrypted, and traffic is protected in transit. No system is perfectly secure, and we do not claim otherwise.
